This Privacy Policy explains how personal data is collected, used, stored and protected in connection with the Rianeva Challenge.
The Rianeva Challenge is an international documentation initiative established to record genuine naming intentions, naming decisions and reported official registrations of the given name Rianeva.
Participation is voluntary. The Rianeva Challenge is not a petition, a public vote, a popularity contest or a legal registration service.
This Privacy Policy applies specifically to the Rianeva Challenge registration form, related communications, manually maintained project statistics and any verification process initiated by RIANEVA.
General information about data processing on the RIANEVA website, including cookies, server logs, analytics and other website services, is provided in the general RIANEVA Privacy Policy.
The controller responsible for processing personal data in connection with the Rianeva Challenge is:
RIANEVA e.U.
Email: email@rianeva.at
Website: www.rianeva.at
The Rianeva Challenge registration form is intended for adults who:
• are seriously considering Rianeva as the given name of their child;
• have decided to name their child Rianeva;
• are a parent or legal guardian of a child already named Rianeva; or
• are a parent or legal guardian reporting that Rianeva has been officially registered as their child’s given name.
The form is not intended to be completed directly by children.
By submitting information concerning a child, the participant confirms that the participant is a parent, legal guardian or otherwise authorised to provide the relevant information.
Depending on the participant’s selected answers, we may collect the following information:
• the participant’s connection to the name Rianeva;
• whether Rianeva is being seriously considered, has been chosen, has already been used or has been officially registered;
• the participant’s country;
• the country, city or locality and authority relevant to a reported official registration;
• the child’s year of birth;
• the year in which Rianeva was reportedly registered;
• the participant’s first name and last name;
• the participant’s email address;
• the participant’s telephone number, where provided;
• an optional message;
• permission to contact the participant;
• permission to include eligible information in anonymous, aggregated project statistics;
• confirmation that the submitted information is accurate;
• confirmation that the participant has read the relevant privacy information.
We deliberately do not request the child’s full name, exact date of birth, home address, birth certificate, identity document or other sensitive official document through the public form.
We process personal data for the following purposes:
a) to receive, review and manage registrations submitted to the Rianeva Challenge;
b) to document genuine parental interest in, decisions concerning and reported use of the given name Rianeva;
c) to distinguish between serious consideration, a naming decision, actual use of the name and reported official registration;
d) to contact participants about their submission where corresponding permission has been provided;
e) to request additional information concerning a reported official registration where verification becomes relevant and contact has been authorised;
f) to maintain anonymous, aggregated project statistics where the participant has provided corresponding permission;
g) to protect the form and website against spam, fraudulent submissions, technical misuse and security threats;
h) to respond to requests from competent courts, public authorities or supervisory authorities where legally required;
i) to establish, exercise or defend legal claims where necessary; and
j) to document the international development and actual use of the name Rianeva in connection with the purpose of the Rianeva Challenge.
The processing of registration data, contact permissions and permission for inclusion in project statistics is primarily based on the participant’s freely given, specific, informed and unambiguous consent under Article 6(1)(a) GDPR.
The participant may withdraw consent at any time with effect for the future. The lawfulness of processing carried out before withdrawal remains unaffected.
Processing necessary for website security, prevention of misuse, evidentiary documentation and the establishment, exercise or defence of legal claims may be based on our legitimate interests under Article 6(1)(f) GDPR.
Processing required by law or by a binding request from a competent authority may be based on Article 6(1)(c) GDPR.
Where information relating to a child is submitted, it is processed only on the basis of the representation made by the submitting parent, legal guardian or authorised adult and for the limited purposes described in this Privacy Policy.
Participation in the Rianeva Challenge is voluntary.
Fields marked as mandatory are required to process and categorise the submission. If mandatory information is not provided, the form cannot be submitted.
Giving permission to be contacted and giving permission for inclusion in anonymous, aggregated statistics are separate and voluntary choices.
Refusing optional contact or statistics permissions does not prevent a participant from submitting an otherwise complete registration.
Where corresponding permission has been provided, selected information may be used to create anonymous, aggregated Rianeva Challenge statistics.
Such statistics may include:
• the number of eligible submissions;
• the number of represented countries;
• the number of families seriously considering Rianeva;
• the number of families reporting that they have chosen the name;
• the number of children reportedly named Rianeva; and
• the number of reported official registrations.
Published statistics will not include the participant’s name, email address, telephone number, exact registration locality or other direct contact information.
Statistics are reviewed and updated manually. Reported official registrations are not described as verified unless a separate verification process has been completed.
A report submitted through the public form does not by itself establish that an official registration has been verified.
Where a participant reports an official registration and has permitted contact, RIANEVA may contact the participant separately to request clarification or discuss an appropriate verification method.
Participants must not send birth certificates, identity documents or other sensitive official documents through the public form or by unsecured email.
If documentary verification becomes necessary, the participant will receive separate information concerning the purpose, legal basis, required data, secure transmission method and applicable retention period before any document is requested.
Participation in a verification process is voluntary unless otherwise required by applicable law.
Personal data may be accessible to the following categories of recipients where necessary:
• authorised persons working for or on behalf of RIANEVA;
• website hosting and technical infrastructure providers;
• WordPress and Elementor-related service providers involved in form processing and storage;
• email and communication service providers;
• IT security, maintenance and support providers;
• professional legal, tax or data protection advisers bound by confidentiality;
• competent courts, public authorities or supervisory authorities where disclosure is legally required; and
• other recipients where the participant has separately and expressly consented to the disclosure.
Service providers acting as processors receive personal data only to the extent necessary to provide their services and are subject to applicable contractual and data protection obligations.
Media organisations, journalists, broadcasters and social media platforms do not receive personal form submissions merely because they report on the Rianeva Challenge.
RIANEVA may publish anonymous, aggregated statistics and general information about the development of the project.
Names, contact details, individual messages, exact registration details, photographs, documents or personally identifiable family stories will not be disclosed to media organisations without a separate legal basis or the participant’s prior, specific consent.
If a journalist or media organisation wishes to contact a participant, RIANEVA will not disclose the participant’s contact details without prior authorisation. Where appropriate, RIANEVA may instead forward the media enquiry to the participant, allowing the participant to decide whether to respond.
Media organisations receiving data directly from a participant act under their own responsibility and their own privacy policies.
The Rianeva Challenge page may contain links to media reports, social media profiles, Human Design services and other external websites.
When a participant follows an external link, the external provider may process personal data under its own responsibility and according to its own privacy policy.
RIANEVA does not control the data processing practices, cookies, tracking technologies or content of independent external websites.
Social media buttons should, where technically possible, be implemented as ordinary links that do not transmit data to the relevant platform until the participant actively clicks the link.
Participants may be offered access to an external Human Design introduction as a voluntary thank-you.
Use of the external Human Design service is optional and is not required for participation in the Rianeva Challenge.
RIANEVA does not automatically transfer Rianeva Challenge form submissions to the Human Design provider.
When a participant follows the external link, any subsequent data processing is governed by the external provider’s own privacy information and terms.
The Rianeva Challenge is open to participants from different countries. The controller is established in Austria, and the primary processing is governed by the GDPR and applicable Austrian data protection law.
Technical service providers may process personal data within the European Economic Area or, depending on the provider and service configuration, in countries outside the European Economic Area.
Where personal data is transferred to a country outside the European Economic Area, the transfer will take place only where an applicable legal mechanism is available. This may include:
• an adequacy decision of the European Commission;
• appropriate safeguards such as approved Standard Contractual Clauses;
• supplementary technical and organisational measures where required; or
• a legally applicable derogation for a specific situation.
Information about the relevant transfer mechanism may be requested using the contact details stated in this Privacy Policy.
We retain personal data only for as long as necessary for the purposes described in this Privacy Policy.
Unless a longer period is required by law or necessary for the establishment, exercise or defence of legal claims, the following retention framework applies:
• incomplete, test, duplicate or clearly invalid submissions: deleted following review;
• submissions for which no contact or statistics permission has been provided: retained only as long as necessary to process and document the submission, and reviewed for deletion no later than 12 months after submission;
• contact information where contact permission has been provided: retained until the relevant communication has been completed, consent is withdrawn or the project purpose no longer requires contact, subject to periodic review;
• submissions included in the active documentation of the Rianeva Challenge: reviewed at least annually and retained only while they remain relevant to the documented development and use of the name;
• unverified reports of official registrations: reviewed periodically and deleted or restricted where verification is no longer pursued or the information is no longer necessary;
• verified documentation: retained only for the documented purpose, applicable legal requirements and any necessary legal claims, subject to restricted access and periodic review;
• anonymous, aggregated statistics: may be retained without a fixed period where they no longer permit identification of an individual.
When personal data is no longer required, it will be deleted or irreversibly anonymised, unless legal retention obligations apply.
RIANEVA applies appropriate technical and organisational measures designed to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access.
Measures may include access restrictions, role-based permissions, protected administrator accounts, encrypted transmission, system updates, backups, security monitoring and contractual controls over service providers.
No internet-based processing system can guarantee absolute security. This does not limit our legal obligations to assess, document and respond to personal data breaches in accordance with applicable law.
RIANEVA applies appropriate technical and organisational measures designed to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access.
The RIANEVA website and the Rianeva Challenge registration form are transmitted using encrypted HTTPS connections based on SSL/TLS technology. This encryption is intended to protect data transmitted between the participant’s browser and the web server against unauthorised access during transmission.
Additional security measures may include access restrictions, role-based permissions, protected administrator accounts, multi-factor authentication where available, regular system and software updates, backups, security monitoring and contractual controls over service providers.
Where Challenge data is subsequently transferred to cloud-based business systems, RIANEVA uses the security mechanisms available within the respective services.
No internet-based processing system can guarantee absolute security. This does not limit our legal obligations to assess, document and respond to personal data breaches in accordance with applicable law.
16.1 MICROSOFT 365, OUTLOOK, SHAREPOINT, ONEDRIVE AND EXCEL
RIANEVA uses Microsoft 365 business services for communication, internal administration, storage, documentation and evaluation of information relating to the Rianeva Challenge.
This may include:
• Microsoft Outlook and Exchange Online for receiving form notifications, sending confirmation messages and communicating with participants;
• Microsoft SharePoint for structured internal documentation and administration of Challenge records;
• Microsoft OneDrive for authorised internal file storage;
• Microsoft Excel for authorised evaluation, reconciliation and preparation of project statistics; and
• other Microsoft 365 business services where required for secure administration, compliance, documentation or communication.
Information submitted through the Rianeva Challenge may therefore be transferred from the website environment to authorised RIANEVA Microsoft 365 systems for further administration and documentation.
Access within Microsoft 365 is limited to authorised persons to the extent required for the relevant processing purpose.
Microsoft processes relevant Customer Data in accordance with the applicable contractual terms and data protection arrangements for Microsoft business services.
The geographic location of Microsoft 365 Customer Data depends on the services used, the configuration of the RIANEVA tenant and the applicable Microsoft data residency commitments.
Where the use of Microsoft 365 involves an international transfer of personal data, the safeguards described in the section “International Data Transfers” apply.
16.2 GOOGLE ANALYTICS
This website uses Google Analytics, a web analytics service provided by Google.
Google Analytics helps us understand how visitors use the Rianeva Challenge website, for example which pages or sections are visited, how visitors interact with the website and how the performance and reach of the Challenge develop.
Depending on the configuration and consent settings, Google Analytics may process information relating to the use of the website, device or browser information, approximate geographic information, interaction data and online identifiers.
RIANEVA does not intentionally transmit information entered into the Rianeva Challenge registration form, such as names, email addresses, telephone numbers or registration details, to Google Analytics.
Where consent is legally required for the use of analytics cookies or comparable technologies, Google Analytics is activated only after the visitor has provided the required consent through the website’s consent management mechanism.
Consent may be refused or withdrawn through the available cookie or privacy settings without affecting the lawfulness of processing carried out before withdrawal.
Google may process relevant analytics information in countries outside the European Economic Area. Applicable international transfer mechanisms and safeguards may include adequacy decisions, the EU-U.S. Data Privacy Framework and/or Standard Contractual Clauses, depending on the relevant processing arrangement.
Further information about Google’s processing of personal data and international data transfers is available in Google’s privacy information.
16.3 HOSTING AND WORDPRESS INFRASTRUCTURE
The RIANEVA website and the Rianeva Challenge are hosted using services provided by Hostinger.
The hosting infrastructure is used to make the website and registration form available, process website requests, operate the WordPress installation and database, and technically store information submitted through the Rianeva Challenge where the Elementor “Collect Submissions” function is enabled.
In the course of providing the hosting services, technical information such as server requests, security logs and connection information may also be processed where necessary for the operation, security, stability and protection of the website.
Hostinger may process personal data on behalf of RIANEVA as a processor in accordance with the applicable contractual arrangements and Data Processing Addendum.
Access to stored Rianeva Challenge submissions is restricted to authorised persons and service providers where access is necessary for the relevant purpose.
Further information about Hostinger’s data processing and contractual privacy arrangements is available in Hostinger’s privacy and data processing documentation.
Rianeva Challenge submissions are not used for automated decision-making or profiling that produces legal effects or similarly significant effects.
Submissions and reported official registrations are reviewed manually.
Subject to the conditions and limitations of applicable data protection law, participants may have the right to:
• request access to their personal data;
• request correction of inaccurate or incomplete data;
• request deletion of personal data;
• request restriction of processing;
• object to processing based on legitimate interests;
• receive data in a portable format where applicable;
• withdraw consent at any time with effect for the future; and
• lodge a complaint with a competent data protection supervisory authority.
To exercise these rights, please contact:
email@rianeva.at
We may need to request information necessary to verify the identity of the requesting person before responding. Any verification information will be limited to what is reasonably necessary.
Consent may be withdrawn at any time by contacting email@rianeva.at.
The withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.
Where consent for project statistics is withdrawn, identifiable submission data will no longer be used for future statistical updates. Statistics that were already genuinely anonymised and can no longer be attributed to an individual may not be capable of being retrospectively removed.
Participants may lodge a complaint with the data protection supervisory authority of their habitual residence, place of work or the place of the alleged infringement.
